Terms & Conditions

I agree to have read and agree to all policies and codes of conduct in the handbook. These are copied below for initial reading. You will be made aware via email of any updates to policies. Any disagreements on future edits are to be queried via writing to discuss.

I understand staff cannot administer medication of any kind. I consent to Emergency First Aid being administered and agree that Emergency Services will be called if required. I agree to inform The Starlets Academy Ltd as soon as possible of any change in medical circumstances or personal details.

Parents Policy

1. Dance terms run term time.

2. There are no refunds for missed classes. There are no refunds for unforeseen closures beyond our control, such as weather-related cancellations or last-minute school closures.

3. In cases of unforeseen illness, injury or other circumstances, please inform us as soon as possible. The cancellation period still applies.

4. Teachers reserve the right to refuse tuition to any child who is misbehaving, disruptive or disrespectful.

5. The uniform is in this booklet, if child is not in suitable uniform tuition can be declined.

6. All classes require focus and concentration, no parents are to sit in classes. Parents are welcome to sit in for Tiny Tots classes only, if bringing sibling they cannot cause disruption to the class. There will be allocated an Parent Watch Week for other classes.

7. Smoking is not permitted in or around any of our teaching premises.

8. Parents are to inform teachers if anyone unfamiliar is collecting your child or if you are running late. A £10 late fee will apply for collections more than 10 minutes late, £15 for 15 minutes and £1 per minute after. After 45 minutes of non collection police would be called.

9. Parents or children should not contact teachers directly.

10. Parents/guardians should understand that certain aspects of teaching involve appropriate contact.

11. Parents and students should not contact our external suppliers directly (e.g. competition organisers, venue providers, room hire services). All communication should go through school management.

12. Shows will be recorded on video and show photos taken. We must be made aware if you do not consent to this when signing your child up for the show. If consent for filming and photos is not given, your child will be positioned out of camera view. These will not be shared on social (unless social content is given).

13. No parents/ guardians should be rude, disrespectful or aggressive towards any members of staff or venue providers we hire. This behaviour will risk your child’s place at the school.

14. For photography, if consent is not given, your child will not appear in photos. Photos will be taken in a way that ensures your child is not captured, meaning no original image of your child will exist. If blurring is required, it will be applied immediately at the point of capture.

15. All classes are designated as tech-free zones. Children are not permitted to use phones during class. If a child must bring a phone for travel or safety purposes, it must be handed in at the front of the class before the session begins. If a phone is not necessary, it should not be brought to class.

Health and Safety, Child Protection Policies, DBS checks and insurance certificates are available upon request.

Tuition and Payment

Payments are made online via our Class4Kids site using a monthly Subscription Plan. Once set up, payments will automatically come out of your bank account monthly (on 1st). A system transaction fee of 5.1% plus 20p is automatically added via the management system.

Fee Payments: Late/declined payments will automatically reattempt on the 4th and 9th where a £6 late fee will be added. Attendance will not be possible after the 4th of the month until payment is made. If it attempts and declines on the 1st, 4th and 9th, you will need to re-register your card details on Class4Kids and pay fees for missed month via system or bank transfer to, Account Name: The Starlets Ltd, Sort Code: 30-63-94, Account Number: 34636868. If you miss three payment dates and it goes to having to reset up details late fee charge changes will be £8 due to us having to reset up manually the subscription again.

Outstanding payments for additional items (e.g., for private lessons or competitions): You will receive a reminder. If the payment is overdue, the balance will automatically be added to the next month’s fees as a “covering payment,” plus a £2 admin fee. You will be notified via email of an additional covering payment being added on. One off private lessons require full payment upfront. There is no refunds on private lessons & no cancellation period.

Membership Fee: This is for students that joined on Jan 2025 and after. There us an annual membership charge of £25. This will be taken on 1st March annually and will be added to your fees. Our annual membership fee will cover extra costs not currently covered in your regular class subscription, such as, but not limited to Staff training, DBS checks, first aid training, chaperone licenses and safeguarding processes, insurances, yearly memberships with examining bodies and licenses, technology including website and social media and investing in systems such as C4K, equipment and cleaning/ replacing equipment, customer service, administration time, business and licensing policies kept fully up to date and student records. In short this all provides the vital foundations needed for safe and professionally run classes to really enhance your experience with us as our school grows. Please note this does not apply to children that only do after school club.

Notice: A 28-day notice period is required to cancel, leave or change classes. Notice for this must be sent in writing to info@the-starlets.co.uk, no verbal or messages will be taken as notice to leave. Full payment for this period will be taken, and your child may attend as usual during this time. If you leave mid-year, payments will be checked to ensure all received classes have been paid for. Any unpaid sessions will be added to the notice period balance. A £6 administration fee will apply for any changes or deductions to class subscriptions made mid-year, this does not include adding on a class. A £6 leaving fee will be charged to cover the administrative time required to amend and work out subscriptions. If you owe fees for classes or other purchases and have left the school, payment must still be made. There is no refunds once payment is made eg. Uniform, Show bookings. If no contact is made regarding outstanding money due, the matter may be pursued through small claims court.

Photo and Video Consent

If any disagreement with the below photo and video consent please state on registration details.

I agree for my Child's photos and videos to be used for marketing purposes which includes The Starlets website, leaflets, flyers, press stories on the school, social media platforms including Facebook, Tik Tok and Instagram, competition entrance videos and other marketing tools.

My Childs full name and details including emergency contact details and medical information can be used on registers & our administrative system for staff only, printouts for holiday clubs/ medals/ shows or competitions (paper will be shredded after use), show programmes (full names used for audience members), entrance into competitions and medals (names and date of birth used only), council performance applications (sent directly to your Childs council with name, address, date of birth- this information is kept on principals laptop protected with a password.

I give my consent for my Child to be named alongside their image.

I agree to Childs first and last name will be used on marketing sites and in press to celebrate success.

Please note if your child joins the performance and/or company team you must also agree to this policy on joining either team.
